osition Summary

We are seeking a proactive and detail-oriented Logistics Assistant to support the end-to-end logistics, procurement, and shipment coordination activities of our company. The role involves managing local and international procurement, preparing shipping documentation, coordinating with suppliers and freight forwarders, monitoring shipment status, and ensuring the timely availability of products across all business divisions, including home appliances, commercial kitchen equipment, petrol pump dispensers, LPG systems, and their respective spare parts.

Key Responsibilities

Procurement & Purchasing

  • Coordinate local and overseas procurement activities based on approved purchase requisitions.
  • Prepare and issue Purchase Orders (POs) to suppliers.
  • Obtain quotations, compare prices, negotiate delivery schedules, and coordinate with vendors.
  • Follow up with suppliers to ensure timely dispatch of goods.
  • Maintain strong relationships with local and international suppliers.

Logistics & Shipment Coordination

  • Coordinate import and export shipments through freight forwarders and shipping agents.
  • Prepare and verify shipping documentation, including:
  • Commercial Invoice
  • Packing List
  • Bill of Lading / Air Waybill
  • Certificate of Origin
  • Insurance Documents
  • Delivery Orders
  • Import permits and other statutory documents
  • Submit complete documentation to freight forwarders for customs clearance.
  • Track shipments from origin to final delivery and provide regular shipment status updates.
  • Coordinate with customs brokers to ensure smooth clearance of shipments.
  • Resolve shipment delays, discrepancies, or documentation issues promptly.

Inventory & Warehouse Coordination

  • Coordinate with warehouse personnel regarding incoming shipments.
  • Verify received quantities against shipping documents.
  • Ensure timely receipt of goods in the ERP system.
  • Assist in maintaining optimal inventory levels to prevent stock shortages.

Documentation & Compliance

  • Maintain accurate procurement and logistics records.
  • Ensure all shipping documents comply with customs and regulatory requirements.
  • Organize digital and physical documentation for audit purposes.
  • Prepare reports on shipment status, pending deliveries, and procurement activities.

Coordination

  • Liaise with suppliers, freight forwarders, shipping lines, customs clearance agents, and internal departments.
  • Coordinate with Sales, Service, Warehouse, and Finance teams to ensure timely order fulfillment.
  • Communicate shipment updates to relevant stakeholders.

Required Qualifications

  • Bachelor's Degree or Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
  • 3–5 years of relevant experience in logistics, procurement, and international shipping.
  • Experience handling imports from multiple international suppliers.
  • Strong understanding of import/export documentation and shipping procedures.
  • Experience coordinating with freight forwarders, customs brokers, and shipping agents.
  • Good knowledge of inventory management principles.
  • Proficiency in ERP systems (SAP experience preferred) and Microsoft Office, particularly Excel.
  • Excellent organizational, communication, and coordination skills.
  • Ability to manage multiple shipments and priorities simultaneously.
